Document Control Coordinator

Transportation Services Department - Close Date: Open until filled


Scope of Position
The Document Control Coordinator is responsible for providing document retention, retrieval, and distribution services in support of the Transportation Services Department.  This position reports to the Assistant Director, Transportation Services, and requires coordination with staff throughout the department.

Essential Duties and Responsibilities
The following reflects a representation of position’s essential functions. It does not prescribe or restrict the tasks that may be assigned as needed.

• Collect, retain, retrieve, distribute, and transmit operation and maintenance documents, reference documents, reports, communications, engineering drawings, and contract documents.

• Maintain project files in hard copy and electronic retention systems.  Retention of electronic files is primarily accomplished through scanning of original documents and posting electronic files to a web-based electronic data management system.

• Assist department staff and stakeholders with the timely retrieval of documents.  Support document retrieval and assembly requirements in connection with internal and other audits.

• Conduct periodic quality assurance audits on document files and databases.

• Perform administrative duties, including scheduling of meetings, preparation of meeting notes, order of office supplies, and other duties as assigned.

Qualifications
The requirements below are representative of the knowledge, skill and/or ability required.

• Strong organizational and administrative skills and ability to adjust to changing priorities is required.

• Proficiency in MS Office software applications, including Word and Excel, and Adobe Acrobat or other scanning software applications is desirable.

• Successful applicants will be able to achieve accurate work products while maintaining a service-oriented approach toward internal and external customers.

• Must be independently motivated and able to work without detailed direction.

• Careful attention to detail and accuracy a must.

• Must be sensitive to time deadlines and ensure that work is accomplished in the time-frames required.

• Familiarity with engineering/construction terminology desirable.

• Good interpersonal skills.

• Good oral and written communication skills.

Education and Experience
Related experience may substitute for education on a year for year basis.

• A Bachelor’s degree from an accredited college or university with major course work in a public administration, business administration, or in a field or discipline related to program area of assignment.

• Three years of demonstrated experience in managing large records systems and utilizing an electronic document management system.

Environment: Work is performed primarily in a standard office environment under pressure and requires the ability to quickly adjust to changing priorities and demands.

Physical: Primary functions require sufficient physical ability to work in an office setting and operate office equipment; to lift, drag, and push/pull light to moderate amounts of weight.

Vision: See in the normal visual range with or without correction.

Hearing: Hear in the normal audio range with or without correction.
